Privacy Notice

Zion Fire Protection, LLC ("Zion," "we," "us," "our") respects your privacy. This Privacy Notice explains what information we collect through the Building Signal Check tool and related Services, how we use it, and your choices.

1. Information We Collect

Information you provide:

• Building address, square footage, story count, construction type, building type, and prior testing status
• Your name, role, email address, phone number, company name, and stated relationship to the building
• Identity attestation confirming your authority to request a Report for the subject building
• Any additional context or questions you submit in free-text fields

Information collected automatically:

• IP address, browser type, device type, and operating system
• Pages visited, time spent, referral source, and interaction events (page views, form steps completed, button clicks)
• Approximate geolocation derived from IP address
• Timestamps of all submissions

We use cookies and similar technologies (Google Analytics 4, Google Maps Places API for address autocomplete) to provide and improve the Services.

2. How We Use Your Information

We use your information to:

• Generate your screening verdict and prepare your Report
• Verify your email address and your identity attestation
• Have a licensed Zion technician review your Report before delivery
• Follow up with you regarding your inquiry, your building, or related Zion services
• Improve the accuracy of our AHJ database and the rules engine
• Maintain logs for fraud prevention, security, and regulatory compliance
• Comply with legal obligations and respond to lawful requests

3. How We Share Your Information

We do not sell your personal information to third parties.

We may share information with:

• Service providers we use to operate the Services, including our email delivery provider (e.g., Formspree), web hosting (Cloudflare Pages), analytics (Google Analytics 4), and address autocomplete (Google Maps Platform). These providers are bound by their own privacy terms.
• Professional advisors (attorneys, accountants, auditors) under confidentiality.
• Authorities when required by law, court order, or to protect Zion's rights, property, or safety.
• A successor in connection with a merger, acquisition, or sale of assets.

We do not share your information with competing fire-protection contractors, BDA installers, or other third parties for their marketing purposes.

3a. Email Verification (Double Opt-In)

To release your full Building Signal Check™ report, we require email verification. After you submit the form, we send a confirmation email to the address you provide; you must click the verification link in that email before we deliver the full report. This protects against fraudulent submissions, ensures the report reaches the intended recipient, and creates a legal consent record under the U.S. Electronic Signatures in Global and National Commerce Act (E-SIGN Act, 15 U.S.C. § 7001 et seq.).

For verification purposes we log: the submission timestamp, your IP address at submission, the email address provided, the verification timestamp (when you click the link), and the IP address at verification. These records are retained per Section 4. If you do not click the verification link within 24 hours, your submission is automatically deleted and no further communication is sent.

4. Retention

We retain submission records, including identity attestations and IP logs, for a minimum of seven (7) years from the date of submission, to support fraud prevention, legal compliance, and AHJ audit trail purposes. Marketing contact information may be retained until you request deletion or unsubscribe.

5. Your Choices

You may:

• Opt out of marketing emails by clicking the "unsubscribe" link in any marketing message we send you.
• Request access, correction, or deletion of your personal information by emailing [email protected]. We will respond within 30 days. Note that records subject to legal retention requirements (Section 4) cannot be deleted before the retention period expires.
• Disable cookies through your browser settings (this may affect Service functionality).

6. Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you in accordance with applicable law.

7. Children's Privacy

The Services are intended for use by adults in a commercial / professional context. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact [email protected] for prompt deletion.

8. State-Specific Disclosures

Residents of certain states (including California, Colorado, Connecticut, Virginia, and Texas) have additional rights regarding their personal information under applicable state privacy laws. To exercise any such rights, contact [email protected].

9. International Users

The Services are operated from the United States and are intended for users in the State of Texas. If you access the Services from outside the United States, your information will be transferred to, processed, and stored in the United States, where data-protection laws may differ from those of your jurisdiction.

10. Changes to This Notice

We may update this Privacy Notice from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Services after a change constitutes acceptance of the revised Notice.
